Are you ready to join us?YOUR ROLE:The facility manager is responsible for overseeing the safe and efficient operations of our physical facilities and office buildings. The primary role is to ensure that the facility is well-maintained, compliant with regulations, and meets the needs of its occupants.KEY ACCOUNTABILITIES:
  • Maintenance and repairs: Managing and coordinating maintenance and repair activities in the facility, including HVAC systems, electrical systems, plumbing, and general building maintenance.
  • Safety and security: Implementing and maintaining safety protocols, conducting regular safety inspections, and ensuring compliance with applicable regulations. Also responsible for overseeing security measures, such as security cameras, access control systems, and emergency response plans.
  • Budgeting and financial management: Developing and managing the facility budget, including forecasting expenses, allocating funds, and tracking costs. Facility manager cooperates with procurement for negotiating contracts with vendors and service providers.
  • Space planning and utilization: Optimizing the use of space in the facility, including rearranging furniture, coordinating office moves, and ensuring that the layout meets the needs of occupants. This may involve working closely with architects, engineers, and interior designers.
  • Environmental sustainability: Promoting and implementing environmentally friendly practices and initiatives, such as energy efficiency, waste management, and recycling programs. Report relevant environmental information to central ESG team
  • Vendor management: Overseeing relationships with external vendors and service providers, such as cleaning services, maintenance contractors, security companies, and landscapers in close cooperation with procurement.
  • Emergency preparedness: Developing and implementing emergency response plans, including fire drills, evacuation procedures, and disaster recovery plans. Facility managers must ensure that the facility has the necessary equipment and resources to respond to emergencies effectively.
  • Tenant or occupant relations: Acting as a main point of contact for tenants or occupants of the facility, addressing any concerns or issues they may have, and ensuring a positive and productive working environment. Managing ticketing system to monitor prompt follow up of issues logged.
  • Manage relationships and compliance for facility, health and safety and ESG with the “friends of facility” together with the corporate facility coordinator manager.
  • 10. Manage facility team: employees supporting ticketing system, corporate facility coordinator manager and the project management team. In summary, a facility manager is responsible for the overall maintenance and operations of a facility, ensuring that it is functional, safe, and well-managed for its occupants.
WHAT DO YOU HAVE TO OFFER? * Education: A bachelor's degree in facilities management, business administration, engineering, or a related field. A master's degree may be preferred but not always required.
  • Experience:
  • Minimum of 5 years of experience in facilities management or a related field.
  • Proven track record of progressively increasing responsibilities within facilities management.
  • Experience managing facility operations, maintenance, and staff.
  • Familiarity with relevant regulations and codes related to facilities management.
  • Leadership Skills:
  • Strong leadership and managerial skills with the ability to lead and motivate a diverse team.
  • Ability to effectively delegate tasks and responsibilities.
  • Excellent interpersonal and communication skills, both written and verbal.
  • Technical Skills:
  • Proficiency in facility management software and systems.
  • Knowledge of building systems such as HVAC, plumbing, electrical, and fire safety systems.
  • Understanding of preventive maintenance procedures and practices.
  • Familiarity with budgeting and financial management related to facilities operations.
  • Problem-Solving Abilities:
  • Strong analytical and problem-solving skills.
  • Ability to identify and address facility-related issues promptly and effectively.
  • Experience in implementing cost-effective solutions to improve facility efficiency and performance.
  • Organizational Skills:
  • Excellent organizational skills with the ability to prioritize tasks and manage multiple projects simultaneously.
  • Detail-oriented with a focus on ensuring compliance with regulations and standards.
  • Ability to develop and implement facility management policies and procedures.
  • Team Player:
  • Collaborative mindset with the ability to work effectively with cross-functional teams.
  • Ability to build and maintain positive relationships with internal stakeholders, vendors, and contractors.
  • Flexibility:
  • Willingness to work flexible hours as needed, including evenings and weekends, to oversee facility operations and address emergencies.
  • Ability to adapt to changing priorities and requirements in a fast-paced environment.
  • Certifications (Preferred):
  • Relevant certifications such as Certified Facility Manager (CFM), Facilities Management Professional (FMP), or similar credentials would be advantageous.
  • Physical Requirements:
  • Ability to perform physical tasks related to facilities management, such as walking, lifting, and climbing stairs or ladders, as needed.
  • Knowledge of Safety Regulations:
  • Understanding of safety regulations and procedures to ensure a safe working environment for employees and visitors.
  • Continuous Learning:
  • Commitment to staying updated on industry trends, best practices, and emerging technologies in facilities management.
