- You arrange travel, visas and accommodations of directional staff and VIP visitors;
- You organize and maintain diaries and you make appointments;
- You deal with incoming emails, faxes and post and you screen phone calls;
- You organize meetings;
- You manage the stock management of gift items.
- You update the fleet and driver list;
- You allocate fleet and parking spaces;
- You control fleet-related official documents and amenities;
- You manage and control fuel card and its consumption;
- You allocate pool cars.
- You manage communication with Belgian authorities;
- You manage housing for Japanese and EU expatriates and their families;
- You manage all formalities related toe the departure and arrival;
- You offer support the toe expatriate and his family;
- You give presentations of "Living in Belgium".
- You answer telephones;
- You welcome visitors and ensure access and issues passes when required;
- You perform other administrative tasks upon requests;
- You make reservations for meetings, hotels, taxi, restaurants etc;
- You handle all incoming and outgoing mails.
- You open incoming invoices and scan them in de system;
- You put in all necessary fields in criteria and send it to the related department;
- You file and archive all invoices.
- You have a bachelor degree (preferable in office management of administrative field);
- You have at least 3 years of experience in administration or equivalent;
- You are fluent in Japanese and English;
- You have a good knowledge of MS Office;
- You have a Belgian driver's license;
- You have a positive attitude and good customer service skills;
- You are able to multitask;
- You have eyes on details;
- You work confidential;
- You can handle stress and can work with deadlines;
- You are good at time management;
- You are a quick learner and you are eager to learn;
- You are team player.
- A fulltime contract for an assignment of minimum 6 months;
