Contributing to European Initiatives 🏛️: Make a meaningful impact on regional and global challenges.We are seeking an Administrative Management Assistant to join our team in Brussels.Introduction / Context: As a full-time employee, you will be part of our EUSS Service at the Directorate-General for Health and Food Safety (SANTE). You will be responsible to provide administrative assistance to the European database on medical devices project. EUDAMED is an online platform that provides a living picture of the lifecycle of medical devices that are made available in the European Union (EU). It will integrate different electronic systems to collate and process information about medical devices and related companies (e.g. manufacturers). In doing so, EUDAMED aims to enhance overall transparency, through better access to information for the public and healthcare professionals, and coordination between the different Member States in the EU.Description of tasks:
  • Help set up/configure the combination of tools to be used in the context of the coordinated assessment process in case of unavailability of EUDAMED and manage access rights to the different interim tools for the participants.
  • Continued support with IT questions related to the tools.
  • Document management in the different interim tools; including upload/transmission of documents to Competent Authorities, archiving and notification of impeding deadlines to the relevant actors.
  • Project progression management by maintaining a dashboard of the status(es) and deadline(s) for each application. This requires continuous and up-to-date information regarding the validation and authorisation process and regarding the actual conduct of the Clinical Investigations and performance studies (CI/PS), when applicable.
  • Organise and follow up on meetings between Competent Authorities to discuss about individual applications and possible challenges encountered in the procedure while using the tools.
  • When requested, support the Coordinating Member State in secure exchange of information activities.

  • MS Office & MS 365 (Outlook, Word, Excel, PowerPoint, Visio, Teams, SharePoint).
  • Confluence.
  • EC Internal collaborative platforms (CIRCABC, Gekko).

Desirable:
  • Previous experience in business administration.
  • Knowledge of EU Institutions (Policy on food safety and health is a plus).
  • Knowledge of/or experience in ITIL environment.
Other requirements:
  • EU Citizenship.
  • Resident or available to relocate to Belgium.
