ResponsibilitiesWe are seeking a proactive, highly organized, and versatile Assistant to support the 6G team. This part-time, on-site role acts as the central Point of Contact (POC) for all team-related coordination, combining management support, internal communications, event planning, and employee engagement.The ideal candidate will be detail-oriented, solutions-focused, and comfortable working in a dynamic, fast-paced multinational environment. Creativity, initiative, and a proactive approach to problem-solving are key to success in this role. The team is spread over US, Europe and India.Administrative Support
- Provide high-level support to the 6G team, including calendar management, travel arrangements (from approval to booking), and expense reports.
- Prepare and edit presentations and internal communications.
- Manage assets, from purchase to exploitation.
- Manage confidential information with discretion.
- Organize legal documentation, process purchase orders, and track invoices.
- Support reporting and data tracking using Excel and Microsoft Teams.
- Act as a communication bridge between Managers, departments, and external stakeholders.
- Draft and distribute internal announcements and external communications.
- Support internal newsletters and maintain key distribution lists.
- Collaborate with HR on training and internal communications initiatives.
- Organize internal and external events: executive visits, customer meetings, student tours.
- Track event budgets and calendar.
- Lead informal engagement events (e.g., coffee talks, internal networking).
- Assist Managers with WPS liaison across geographies.
- Liaise with facilities teams for site improvements.
- Collaborate with various departments and external partners.
- Engage with internal employee resource groups and site initiatives.
- Use Microsoft Teams to coordinate and track projects and actions.
- Provide backup support during absences or high-demand periods.
- Assist with purchasing processes, shipment tracking, and vendor coordination.
- Proven experience in executive or administrative support roles.
- Strong organizational and multitasking skills.
- Excellent verbal and written communication in English. French and/or Dutch are nice to have.
- Proficiency in Microsoft Office (Outlook, PowerPoint, Excel) and Microsoft Teams.
- High level of integrity and discretion when handling sensitive information.
- Proactive, creative, and adaptable mindset.
- Comfortable working in a fast-paced environment and managing multiple priorities.
